The Finance team is a crucial aspect of New America’s central services group; providing support to our programs and leadership on day to day fiscal matters as well as grant budgeting, reporting, and analysis. We are seeking a highly motivated individual to join our Finance Team in the capacity of a Junior Grants Analyst. The ideal candidate is a resourceful relationship builder who is highly detail-oriented and able to handle multiple priorities within a tight timeline.

Job description:

Reporting to the Director of Budget, Grants, and Reporting, the Junior Grants Analyst oversees the fiscal aspects of both private and public grants accepted by New America. This position is responsible for providing operational support within the Finance department to serve New America’s wider organizational needs regarding the administration of the Grants Management process.  Additionally, this position supports the Finance department through the preparation and dissemination of monthly programmatic financial statements, and budget review, development, management, and maintenance. 

Responsibilities:

Grant and Contract Administration; Financial Management and Compliance

  • Responds to queries relating to grant expenditures, budgets, and carryover balances.
  • Coordinates with Program departments in preparing interim reports and final accounting of program activity.
  • Ensures grant files are up to date with original agreements and copies of all modifications, correspondence and reports.
  • Manage internal information systems, ensuring grant data is updated as needed, and complete with all modification and closeout actions.
  • Oversees the subgrant process, from pre-award through closeout, ensuring subrecipient eligibility, compliance, and timely reporting.
  • Follows the grant cycle from proposal to close-out, ensuring compliance and fiscal strategies are carried throughout.
  • Thoroughly vets incoming grant and contract documents, ensuring appropriate controls are in place for full compliance across both the implementing program unit and central services.

Financial Accounting, Analysis, and Reporting

  • Prepares and disseminates monthly internal financial reports.
  • Prepares routine and complex journal entries and reclasses.
  • Uses information from internal accounting systems to prepare financial reports required by various grantors, including US Federal grant reporting.
  • Fields ad-hoc requests from program managers in a timely fashion, ensuring the availability of information and documentation for audit trail.

Training and Capacity Building

  • Works with all NA programs, NA hubs, and partners to ensure they have the capacity to handle grants in all financial and compliance aspects.
  • Trains staff in general financial management, federal grant guidelines, full cost recovery, sub-recipient and partner monitoring, budgeting, and donor regulations.
  • Builds rapport with program staff, establishing a smooth working relationship between the Finance department and other areas of the organization.

Principle working relationships: The Junior Grants Analyst will work frequently with finance personnel, NA program managers and their units, program personnel with and without an accounting or grant management background, a diverse group of grantors, and auditors.

Qualifications, Knowledge and Skills:

  • BA or BA equivalent in Business, Accounting, Finance or Economics. Direct experience with nonprofit grant management, budget coordination, and financial management experience may substitute.
  • 2 years prior experience in a related field preferred; knowledge of federal grant & contract guidelines highly desirable.
  • Strong communication and customer service skills, and ability to exchange information with others clearly and concisely.
  • Knowledge of standard financial reporting requirements for US Federal Government and Foundation grants.
  • Excellent skills with Microsoft Excel, including working knowledge of the pivot table and report design; knowledge of Jet report functions desirable.
  • Ability to work with a minimum of supervision, but knowing when to seek additional assistance.
  • Ability to work harmoniously and effectively as part of a work team, responding to frequent demands of multiple customers (internal and external).

Compensation and Benefits: This position is a full-time role with benefits. The annual salary will be between $60,000.00 – $68,000.00, depending on experience.  New America offers a highly competitive benefits package that includes health care, dental, and vision coverage; a generous retirement plan; paid time off; observes all federal holidays; and an office-wide closure between Christmas and New Year’s Day.

Location:  New America’s Washington D.C. offices, Hybrid work mode
